Privacy Policy
Keelara LLC ("we," "us," or "our") operates PaidHarbor (www.paidharbor.com), a free invoice, receipt, quote, and pay-calculator toolkit. This Privacy Policy explains what information we handle when you use PaidHarbor, how we use it, and the choices you have. PaidHarbor is built local-first — most of what you create never leaves your browser — but a few features do send data to our servers or to third parties, and this page explains exactly which ones.
What we collect
Documents and drafts (local)
Invoices, receipts, quotes, and calculator inputs you create are stored in your browser's local storage (prefixed phb:) by default. We never see this data unless you take an action — like creating a hosted share link — that uploads it.
Hosted share links
If you create a Pay-Now share link for a document, that document's data is uploaded to our servers so your client can view it at a URL like paidharbor.com/i/.
Subscription information
If you upgrade to Pro, we store your subscription email and identifiers from our payment provider, Polar. We do not store your card details.
Service telemetry
Standard request logs and error traces needed to operate and secure the service.
Local-first vs. hosted
By default, PaidHarbor does all of its work in your browser: building your invoice, calculating totals, and generating a PDF happen client-side, and nothing is sent to our servers. Your data leaves your device only when you choose a feature that requires it — most commonly, creating a shareable Pay-Now link.
Simply generating and downloading a PDF invoice, receipt, or quote never uploads anything to us.
AI features
Optional AI features — drafting an invoice from a pasted description, or writing a payment-reminder email — send the text you submit to OpenAI for processing. Please don't paste sensitive personal information (like Social Security numbers or full card numbers) into these fields.
AI features are optional. The free tier includes 2 AI actions per day; nothing is sent to OpenAI unless you use them.
Reminder emails (optional)
If you turn on automatic payment reminders for a shared invoice, we send reminder emails through Resend to the client email address you provide. You can turn this off at any time from the invoice's options.
Payments
Two separate payment flows exist in PaidHarbor. First, invoice payments: when a client pays you through a Pay-Now link, they pay directly via your own payment links (Stripe, PayPal, Wise, Venmo, Cash App, etc.) — PaidHarbor never touches, holds, or processes that money, and we are not a party to that transaction. Second, PaidHarbor Pro subscriptions: paid subscriptions are processed by our payment provider, Polar (Polar Software Inc.), acting as merchant of record. Polar collects and processes your payment and billing information under its own privacy policy; we receive your subscription status and a customer/subscription identifier.
We never receive or store your full card number, and we never touch the money your clients pay you.
Analytics
PaidHarbor does not use cookies for advertising or cross-site tracking. We keep first-party analytics — page views tagged with UTM campaign parameters, and approximate visitor counts by country derived from your network connection (via CloudFront's country header) — to understand how the service is used. These are aggregated and not tied to the contents of your documents.
Data security
We serve the site over HTTPS. Data held on our servers is stored with a reputable cloud provider (Amazon Web Services) and access is limited to what is needed to operate the service.
Your choices
Children's privacy
PaidHarbor is intended for adults and for business use. We do not knowingly collect information from children under the age of 13.
Changes to this policy
We may update this Privacy Policy from time to time. Any changes will be reflected on this page with an updated revision date. We encourage you to review this page periodically.
